This is a reminder that an HR Front End (HRFE) transaction for a Notice of Non-Reappointment must be submitted to the UIC HR Service Center for any Academic Professional or Faculty staff member who will not be reappointed beyond the end of the current academic year ending on August 15, 2015 no later than January 27, 2015. This includes:
Permanent full‐time Academic Professionals on hard funds employed for less than 4
Permanent full‐time Academic Professionals on soft funds who have completed at least 4 but less than 5 years of service
Full‐time Postdoctoral Research Associates on hard funds
Faculty in year 1 of their tenure‐track probationary period
Faculty who are entitled to formal notice based on their appointment percent time and source of funds.Please review policy 901 Notice of Non-Reappointment for Tenure-Track and Non-Tenured Faculty to determine whether formal notice is due.
Academic Professional Notices of Non-Reappointments can start and end at any time, as long as they cover the sufficient notice period to which they are entitled. However, Postdoctoral Research Associates that are paid from guaranteed/hard funding, who do not receive their notice 6 months prior to the end of their contract must be offered another full year appointment.
We understand that not all appointments run on the academic year, but if there is no end date on the job, the standard academic year date is presumed. You may confirm appointment terms by viewing the employee’s Notification of Appointment (NOA) on the University HR Website.
When initiating a Notice of Non-Reappointment in HR Front End, you will need to complete an Employee Record Change transaction. Please make sure that the terminal letter has been attached to the transaction. The job comments section should include the employee’s current mailing address information, which should be verified with the employee prior to submitting the HRFE transaction. The Board of Trustees will mail the amended NOA to the employee’s current mailing address. For employees that hold joint notice eligible appointments, please allow enough time to route the transaction so that it is received by the UIC HR Service Center by the close of business on January 27, 2015.
Once the HRFE transaction has been submitted, please notify the UIC HR Service Center via email at UICHRServiceCenter@uillinois.edu with the names of the employees, UIN’s, and transaction numbers of the NONRs that you are submitting. Please also indicate if the NONR is for an Academic Professional or a Faculty employee. This will help ensure transactions are processed by the Board of Trustees deadline.

Notice rights information for Faculty employees can be found on the Faculty Affairs HR website at http://fahr.vcaa.uic.edu.
For all positions where no formal notice of non-reappointment is required, units should do their best to give a reasonable period of notice to the employee if the employee’s contract will not be renewed.
